Software > Accounting > 102.3c - Accounts Receivable - Invoicing
Our Invoicing Systems are typically built into custom Accounts Receivable modules and they operate in a very similar manner as our Sales Tickets in our Point of Sale modules.
As for production level processing of invoices...
Invoicing systems related to Square, Paypal or your own Merchant Account Virtual Terminal
The items below are a few examples of the Invoicing components we have created:
- Invoices can be printed and delivered by hand.
- Invoices can be printed and mailed. The to and from addresses can be configured to use envelops with windows.
- Invoices can be sent by email. As of now we can send emails with text or html bodies easily. If PDF attachments are desired instead of text or html bodies, the files must be saved as a pdf and manually attached to an email at this time. There is no way to automatically create a PDF and send in one step at this time with our current tool set.
As for production level processing of invoices...
- We have a way to mail merge invoice data with billing forms for bulk printing.
- We have a way to send out multiple customer specific emails for invoicing as long as text or html email bodies suffice for the invoice presentation (we are working on a bulk emailing solution with PDF attachment, but it may be a while).
Invoicing systems related to Square, Paypal or your own Merchant Account Virtual Terminal
- Invoicing systems related to Square, Paypal or your own Merchant Account Virtual Terminal can be used for notification of amounts due too. If you are going to use these systems, we suggest sending your own detailed invoices from your own Point of Sale or A/R system manually or digitally, and then sending requests from these systems with nothing more than a total due and a simple reference to the sale details if needed/desired.
- Payment received against these types of invoices can be manually recorded into your Point of Sale or A/R system to close out a transaction. There is no automated integration with Square, Paypal or similar systems at this time and there are no plans to do that. We are investigating the possibility of processing credit cards related to a specific credit card gateway directly from within Google Sheets, but that is not a feature at this time. An individual merchant account for your business would be required if/when this becomes available.
The items below are a few examples of the Invoicing components we have created:
- Invoicing in a Point of Sale System
- Invoicing in a Health Insurance Billing System
- Invoicing in a Metered Water Billing Systems
1) Invoicing in a Point of Sale System
Below is the Sales Receipt page that is part of a larger Point of Sale system. While this is in a Point of Sale system, identical forms could be built for creating accounts receivable records and for invoicing for those at the same time with email delivery of the invoice.

The same information presented via email with a plain text body...
2) Invoicing in a Health Insurance Billing System
Invoicing in our Health Insurance System combines the patient visit open records with an invoice header record to create an invoice of all open items.

The to and from addresses can be located to work with envelop windows and most aspects of this are customizable.

3) Metered Water Billing
We built an A/R system for a small water company that had 16 meters on a single water supply. Her 90 minute billing and collection tracking process was reduced to 10 minutes and her look went from unprofessional to incredibly professional on her bills.
This system does NOT have a billing header record like the health insurance system does. It operates in a different manner.
