Our Deposit Management Database is a powerful yet simple database tool for tracking all aspects of cash and check related banking deposits. It creates the detailed print out that most believe they need to put on a deposit ticket, and it is a great way to historically look up check payments on the rare occasion that is needed.
This tool or something comparable is a requirement if you start aggregating deposits as we suggest via the ZAP Accounting methodology.
For most people these types of details are stored in their Accounting software, for us, this is stored in this simple tool that can be used to support aggregated deposits in your accounting software.

This workbook has 4 working tabs:
- Cash Bank
- Cash Deposit Log
- Check Log
- Deposit Slip Companion Report
1 - Cash Bank Worksheet
If you keep a cash bank, this is the data-table you use to reset that cash bank. You will count out the bank money from the total cash pile first and enter that info into the worksheet. If you are short for a given denomination that will be recorded and that can be rectified by yourself or others with the cash sales funds or by others at a later time.
2 - Cash Deposit Log
All cash above the bank amount gets reported on this worksheet. Cash kept by the owner should be noted as to whether it was kept for business or personal reasons for year end reporting. This information is pulled by deposit date for a deposit statement and the deposit statement can be recalled at anytime.
3 - Check Log
Checks are entered into this data-table. This information is pulled by deposit date to create a deposit statement report. That report can be recreated by deposit date at anytime.
4 - Deposit Slip Companion Report
This report is created by selecting the relevant deposit date from the pre-populated date drop down menu. The totals from this report are written on a bank deposit slip (a cashiers slip is fine), and that deposit slip and this report are put in an envelope and dropped in the night deposit box at your local bank. If by chance you loose your deposit envelop prior to making it to the bank, the ability to recreate this report for corrective measures and an insurance claim for the cash comes in handy (speaking from vicarious experience).
When printed, this report looks like this...
Summary
It took a while to come to recognize the formal needs for all of these worksheets. We kept trying to half-ass it, and we realized if we just formalized all of this, it actually created a routine that could be done with less thinking.
If you wanted to keep a register for petty cash, you could do that here or in your accounting workbook.
Needless to say, this can all be customized and built on to as needed and non-desirable functionality can be removed.
