Software > Wellness ERP System > 102.7 - Point of Sale System
This is the Grand Daddy of the modules. We put it here because by now you've seen all kinds of hidden header work and javascript functionality. We won't go into much detail on those other than to mention them. This will force you to read the other sections!!
1 - Sales Ticket
Functionally, this works in a very similar fashion to the Nutrition worksheet with connections to both the Patient Data table and the PSOPs (products) data table. This worksheet has the "Get Demo Data", "Clear Form and Save Ticket functionality like the Nutrition Worksheet. The Hidden Header programming and javascript is nearly identical.
This worksheet has the added functionality of tracking payment methods and payment amounts which was not included on the Nutrition Worksheet and we can email this receipt to our patients from this form as well (more on that below).
Because we use a "Tax Accounting First" methodology with our Bookkeeping we do some very interesting tricks with the payment methods here to produce robust reporting that is relevant to us... These tricks represents a HUGE deviation from all complex SAAS Point of Sale systems and it is worth it's weight in gold for those that need to project insurance sales to gain a better understanding of their true work for a given day or week.

The print out of this is shown right...
And here's a peak at the hidden header for this worksheet....
2 - Prepaids
We have a simple worksheet for tracking prepaid packages.
3 - Prepaids Complete
Once a contract is complete, it is manual cut and pasted into the Prepaids Complete tab. As simple as it gets...
4 - Account Balances
A customer was without their check book one day. You gave away some product to a customer and told them you'd bill them on their next visit. These are real things that happen in a working business, and these are things that are tracked on the Account Balances worksheet. This is a simple Accounts Receivable application that is most similar to a digital bar tab system.
5 - Sales Archive
Our Sales Archive stores the header record information for a sales ticket along with the payment details information. This storage of payment details in this manner would be kind of frowned upon by true relational database programmers, but it is a great fit for this application and spreadsheets. This archive is automatically populated from the sales ticket, but it can just as easily be manually populated for those not wanting or needed the formal sales ticket functionality. All of our reporting feeds from this worksheet.
6 - Sales Details Archive
Line items are stored separately and related to the header records by a unique ID (in our fully automated process). This is identical functionality as that found in the Nutrition Worksheets module.
7 - Search Sales
You can search the raw data tables or you can use our search tool. This searches the header records (which include payment information).
And here's a glimpse at the Hidden Header..
8 - Search Sales Details
This will provide us with the line items for all orders matching the search criteria.
And this hidden header is similar to the prior...
9 - Sales Ticket Reprint
As with the Nutrition Worksheet, you select a Patient from the drop down, and the drop down to the right will populate with prior visit dates and unique IDs for ticket selection. You can email receipts from this page as well.
And its hidden header...
10 - Inventory Report
While we advocate a Kanban style manual inventory system, you can generate sales reports by line item and date range here and in theory that should also represent a reorder list for sales for a given time period. This is an interesting and slick use of column filtering associated with a report format.
11 - Trades
If you trade services with others and you want to remember who's up or down, you can include a trades worksheet.
12 - Annual Sales - By Month
This is the first of our reporting worksheets. This is a great place to grab aggregated sales tax by month.
13 - Annual Sales By Week
Similar to above but broken down by week.
14 - Weekly Report
This is our weekly report. This is where some magic happens. For our own evaluation purposes, we don't care how much money we actually brought in.. we care how much work we did and what the money would have been if we collected it all at the time of service as opposed to before and after -- and THIS type of relevant reporting is what no wellness practitioners have at this time... This is where the Bookkeeping separated from the Point of Sale system with a Tax Accounting first methodology allows for this type of Point of Sale reporting that becomes very relevant for wellness practitioners.
15 - Daily Report
The daily report takes one line from the weekly report and then shows the details for the day. Many practitioners use this as a cross check for some things at the end of the day.
16 - Liquid Herb Pricing
Our final tab in this example is a pricing utility that is not used often by the practitioner, thus she stuck it at the end of her workbook. This is used for pricing her liquid herbal concoctions when she makes them.
Summary
We don't build in any graphing by default. The data is all here. That is a relatively easy task if required. Most SAAS systems tout their "graphing" when in fact most small business people just need to see their numbers in a clear and simple fashion with the ability to customize reporting as needed.
